What does the Subcontractor Certification AI Agent do?

The Subcontractor Certification AI Agent brings AI to subcontractor management within DANAOS ProjectVIEW AI. It is designed to check each payment certificate against the subcontract rates, measured progress, variations and retention terms in ProjectVIEW ERP, and to flag differences, delayed certifications and commercial risk. The subcontractors manager or quantity surveyor approves every certificate. It is also designed to reconcile subcontractor invoices automatically against the contract, the approved certifications and the payments already made.

Which ProjectVIEW ERP data does it use?

The agent works on the data in the Subcontractors Management module of ProjectVIEW ERP, linked to the same BoQ, WBS and Cost Codes as the main contract.

  • Subcontracts, rates and scope by BoQ item
  • Measured progress and previous certificates
  • Approved and pending subcontract variations
  • Retention, advance payment and deduction terms
  • Back-charges and payment history

How does it work?

The agent follows the ProjectVIEW AI agent cycle. Applied to subcontractor certification:

  1. Detect: find certificate lines where claimed quantities or rates differ from the subcontract or from measured progress.
  2. Investigate: check previous certificates, approved variations and site records for the same items.
  3. Explain: state the reason for each difference, for example a quantity claimed ahead of measured progress.
  4. Recommend: propose certified amounts, retention and deductions line by line.
  5. Request approval: send the draft certificate to the subcontractors manager.
  6. Execute: after approval, record the certificate in ProjectVIEW ERP.
  7. Audit: log what was claimed, what was recommended and what was certified.

The agent can also answer questions such as “Which subcontractors represent the highest commercial risk?” across a project or a portfolio.

How is the agent governed?

The Subcontractor Certification AI Agent works inside ProjectVIEW ERP governance, following the chain Identity → Role → Permission → Data → AI → Action. It sees only the data the user’s role allows and proposes only actions that role could take. AI should operate inside enterprise governance, not around it.

  • Consequential actions always need human approval.
  • Every recommendation, approval and change is recorded for audit.
  • Data stays in the client’s private environment and is not sent to public consumer AI services.

Example: how could it work on a project?

Illustrative example. A contractor receives a monthly payment application from a mechanical subcontractor on Project C.

The agent finds that two lines claim quantities above measured progress and one line uses a rate from a variation that is still pending. It also notes that retention on this subcontract is close to the agreed cap.

It drafts a certificate with the claimed quantities reduced to measured progress, the pending variation held, and retention adjusted. The quantity surveyor checks the flagged lines, the subcontractors manager approves the certificate, and the record is kept for audit.

FAQ

Frequently asked questions

Does the agent certify subcontractor payments on its own?

No. It prepares a draft certificate with reasons for each difference. The subcontractors manager approves it before anything is recorded or paid.

Can voice or site notes be used as evidence of progress?

Site inputs can be captured and mapped to BoQ, WBS and Cost Codes for review. Voice recordings alone do not establish contractual entitlement or certified progress; certification stays with the authorised user.

How does AI subcontractor management help with retention?

The agent is designed to track retention against the subcontract terms and flag where exposure is building up or release dates are approaching, so the team can act before it becomes a dispute.

Can it reconcile subcontractor invoices automatically?

Yes. It is designed to match each invoice with the subcontract, the approved certifications and the payments already made, and to flag any difference in rates, quantities, retentions, advances or deductions before payment is approved.
