What is the ProjectVIEW AI Assistant?

The DANAOS ProjectVIEW AI Assistant is an AI assistant for ERP in construction, shipbuilding and capital projects that answers questions in plain language on live ProjectVIEW ERP data. Directors, project managers and cost controllers ask a question such as “Why is Project Alpha over budget?” and get an answer that draws on their own budgets, commitments and approvals. It is part of ProjectVIEW AI, the AI add-on to ProjectVIEW ERP.

The assistant does not replace ERP screens or reports. It shortens the path to them. Instead of building a report, filtering it and reading it, you ask the question and get the answer with the figures behind it. It aims at the questions that today take a phone call, an email and a spreadsheet to answer.

What questions can you ask the ProjectVIEW AI Assistant?

You can ask about anything your role can see in ProjectVIEW ERP. Answers come from the BoQ ↔ WBS ↔ Cost Codes structure, so cost, progress and commercial data line up.

Question ERP data used Answer type
Which projects are most likely to exceed budget? Budgets, committed cost, actual cost, forecast cost at completion per project Ranked list of projects with the drivers of each overrun
Why is Project Alpha over budget? Cost codes, WBS packages, commitments, variations Explanation in plain language, with the cost codes and packages responsible
What is the current committed cost for concrete on Project X? Purchase orders, subcontracts and cost codes for concrete Figure with the breakdown by commitment
Which subcontractors represent the highest commercial risk? Subcontract values, certifications, retentions, open variations Ranked list with the reason for each risk flag
Show me my pending approvals. Approval workflows for the user’s role List of pending items, linked to the ERP records

The assistant also supports semantic search across project records, document ingestion and contract clause extraction, so you can ask about a contract term as well as a cost figure.

Can the assistant prepare executive briefings?

Yes. Executives can ask for a briefing across a portfolio, a region or a single project. A typical briefing covers projects at risk of overrun, margin erosion, cash flow position, open variations and pending approvals. Each point refers back to the ERP records, so a director can drill into any figure or forward it to the responsible manager.

This is the practical use of the principle that ERP records what happened and AI explains why it happened and what will happen next. See how this supports C-level executives and cost controllers, and how it builds on ProjectVIEW ERP cost control.

Can you use the ProjectVIEW AI Assistant by voice?

Voice capture is part of the ProjectVIEW AI voice and headless approach; we confirm its availability for your deployment during scoping. It also serves data entry, not only questions. A site engineer dictates the daily site log, and speech-to-text produces a draft that the user reviews before saving. Then the system links what the user said to the right BoQ items, WBS packages and cost codes. It fills ERP fields only after validation and authorisation.

Voice recordings alone do not establish contractual entitlement or certified progress. People speak. AI interprets. ProjectVIEW ERP structures, validates and controls. For the full voice pipeline, see how ProjectVIEW AI works.

ProjectVIEW AI Assistant

Which languages does the assistant support?

The assistant works in natural language, not in query syntax. The public Ask bar on danaos-projects.com, which runs on ProjectVIEW AI, already answers visitors in several languages. During scoping, we confirm language coverage inside your own ERP environment, together with your deployment option.

Who uses the ProjectVIEW AI Assistant day to day?

Each role asks different questions. The assistant answers within the scope of that role.

Role Typical question
Managing director, CFO Which projects put this year’s margin at risk, and why?
Project manager What changed in my forecast cost at completion since last month?
Cost controller, quantity surveyor Which cost codes show committed cost above budget?
Procurement officer Which open quotations are above the budget rate?
Subcontractors manager Which certifications are overdue, and what retention is outstanding?

The same question asked by two people can return different answers, because each sees only the projects and records their role allows.

What are the limits of the ProjectVIEW AI Assistant?

The limits are deliberate. They are what make the answers usable in a project business.

  1. All answers draw on ERP data. The assistant retrieves the relevant records at the time of the question. However, if the data is not in the ERP, or nobody has mapped it to BoQ, WBS and cost codes, the assistant says so rather than guessing.
  2. Role permissions apply. Every question follows Identity → Role → Permission → Data → AI → Action. A user sees only the projects, figures and documents their role allows.
  3. No consequential action without approval. The assistant can prepare an entry or a recommendation. A person approves it.
  4. Data quality still matters. AI will not fix broken processes. It will amplify them. Clean commitments and timely cost allocation give better answers.

For processes that need continuous monitoring rather than a question, see ProjectVIEW AI Agents.

FAQ

Frequently asked questions

Does the ProjectVIEW AI Assistant use public AI services?

No. Data never goes to public consumer AI services. ProjectVIEW AI runs in a private environment, and on Microsoft Azure, Microsoft does not use prompts for model training.

Can the assistant answer questions about documents and contracts?

Yes. It supports document ingestion, semantic search and contract clause extraction. The assistant links document content to the project structure, so answers can combine contract terms with cost data.

Can I ask the same questions from Claude or ChatGPT?

Yes, through the ProjectVIEW MCP connector, which is available for Claude and ChatGPT. The same role permissions apply. See the ProjectVIEW MCP server.

Does the assistant need ProjectVIEW ERP?

It works best on ProjectVIEW ERP. It can also work on data from existing systems such as SAP, Oracle or Primavera P6 once you map that data to BoQ, WBS and cost codes.
