What does the Claims and Variations AI Agent do? The Claims and Variations AI Agent brings AI to claims and variations management within DANAOS ProjectVIEW AI. It is designed to find unapproved variations, delayed certifications and retention exposure, and to assemble the evidence for a claim from contracts, correspondence and project records linked to ProjectVIEW ERP. The contracts and variations manager approves every submission. Which ProjectVIEW ERP data does it use? The agent uses client-side contract data in the Customers and Account Receivables module of ProjectVIEW ERP, linked to BoQ, WBS and Cost Codes. Main contract, BoQ and contract rates Variation orders, instructions and their approval status Interim certificates, billing and retention Cost recorded against changed scope Contract documents, correspondence and site records, with clause extraction How does it work? The agent follows the ProjectVIEW AI agent cycle. Applied to claims and variations: Detect: find work instructed or performed outside the BoQ without an approved variation, and certifications that are overdue. Investigate: gather the relevant clauses, instructions, correspondence and cost records. Explain: summarise the change, its cost and time effect, and the contractual basis. Recommend: propose a variation request or a claim with supporting evidence. Request approval: send the draft to the contracts and variations manager. Execute: after approval, register the variation or claim in ProjectVIEW ERP. Audit: keep the evidence trail, the approver and the submission. The agent prepares evidence; it does not decide entitlement. Contractual positions remain with the contracts team. What goes in, what comes out and where does a person approve? Main inputs, outputs and decision points: Inputs Outputs Human approval point Variation orders and approval status List of unapproved variations with cost to date Contracts manager decides which to pursue Contract clauses and correspondence Extracted clauses and timeline of events Contracts manager confirms the contractual basis Cost and progress on changed scope Draft claim or variation request with evidence Contracts manager approves submission Certificates and retention Delayed certifications and retention exposure Financial officer and project manager agree follow-up How is the agent governed? The Claims and Variations AI Agent works inside ProjectVIEW ERP governance, following the chain Identity → Role → Permission → Data → AI → Action. It sees only the data the user’s role allows and proposes only actions that role could take. AI should operate inside enterprise governance, not around it. Consequential actions always need human approval. Every recommendation, approval and change is recorded for audit. Data stays in the client’s private environment and is not sent to public consumer AI services. Example: how could it work on a project? Illustrative example. On Project H, the client’s engineer issues a site instruction to change a drainage detail. Work proceeds, but no variation order is approved. The agent detects cost booked against the changed items without an approved variation. It collects the instruction, related emails and the relevant contract clauses, and estimates the cost effect from records in ProjectVIEW ERP. It drafts a variation request with the evidence attached. The contracts and variations manager edits the wording, approves the submission and the request is registered. The full evidence trail is kept. Who uses it? The agent is designed for commercial and contracts teams: Contracts and variations managers who protect entitlement and manage change Quantity surveyors who value variations and prepare certificates It applies to construction and other project-based industries working under FIDIC, EPC, lump-sum and similar contracts. Frequently asked questions What does AI claims and variations management do that a document system does not? The agent is designed to connect the contract, the instructions and the cost records in ProjectVIEW ERP, so it can find change that has not been claimed and show its cost. A document system stores the files; the agent links them to cost and scope. Does the agent submit claims? No. It prepares a draft with evidence. The contracts and variations manager reviews, edits and approves every submission. Can voice notes or site logs support a claim? Site records can be captured and mapped to BoQ, WBS and Cost Codes for review. Voice recordings alone do not establish contractual entitlement or certified progress.
